Ordering FAQs

Here are some of our most frequently asked questions about Ordering.

Order Pad

1. What do the Order Pad item badges mean?

There are three potential item badges you may see on the Order Pad. These are:

  • Recalled: Displays against any items that have been moved back to the Order Pad, either from the Outbox or Goods In tabs. Note: This badge will not display for orders that have been copied from the Order History tab to the Order Pad.
  • Locked: An item that has been locked and cannot be edited or moved to another page or supplier. Items will need to be unlocked before they can be sent to order. You can view the Locked Reason as a tooltip by hovering over the Locked badge.
  • Expensive: The item price or total cost is over £100.
2. What does the R badge mean on the Add Item(s) window?
Any item(s) marked as Restricted will be displayed with an R badge.
3. Can I enter a negative value into the Quantity field on the Order Pad if I have excess stock?
Yes, the Order Pad supports negative values. If configured to Replace, any negative values will increase as items are added. The items will be included in your orders once the quantity becomes greater than zero. This feature allows you to manage excess stock and inventory effectively.

Outbox

1. What do the Outbox order status badges mean?

There are two order statuses you may see in the Outbox. These are:

  • Sending: An order will sit briefly in the Sending Status during transmission. Once a response has been received, successful orders will move into Goods In or unsuccessful orders will remain in the Outbox with a Failed Status.
  • Failed: This order has returned an unsuccessful transmission response. We recommend contacting the wholesaler to confirm if they have received your order, and then using the available function keys you can either attempt to re-transmit the order, or move the order back to the Order Pad or to Goods In.

Goods In

1. What do the Goods In response and status item badges mean?

There is one item status you may see on the Goods In tab. This is:

  • Order Pad: This item was moved back to the Order Pad, either manually by using the available function keys, or automatically for the full quantity of Rejected lines. You will be unable to amend the Book-in Qty for any items moved to the Order Pad.

There are three item responses you may see on the Goods In tab. These are:

  • Accepted: The item was accepted by the wholesaler.
  • Rejected: The item was rejected by the wholesaler. If a rejected response was provided by the wholesaler, you'll be able to view this by hovering over the Rejected badge. Rejected items will be added to the Order Pad and the item Status will be updated to Order Pad. You will be unable to amend the Book-in Qty for any items moved to the Order Pad.
  • Partial: A partial quantity was accepted by the wholesaler. The accepted quantity will be displayed in the Received Qty column and the remaining quantity will be added to the Order Pad.

Order History

1. What do the Order History response and status item badges mean?

There are two item statuses you may see on the Order History tab. These are:

  • Booked In: Displays when the item has been accepted/received, either in full or as a partial quantity.
  • Order Pad: This item was moved back to the Order Pad, either manually by using the available function keys, or automatically for the full quantity of Rejected lines.

  • Accepted: The item was accepted by the wholesaler.
  • Rejected: The item was rejected by the wholesaler. If a rejected response was provided by the wholesaler, you'll be able to view this by hovering over the Rejected badge.
  • Partial: A partial quantity was accepted by the wholesaler. The accepted quantity will be displayed in the Received Qty column and the remaining quantity will be added to the Order Pad.
