Streamline your pharmacy's processes using Apotec CRM, from ordering to patients, and dispensing flows to location management. Our Getting Started video playlist aims to teach you how to use all the everyday functionality within Apotec CRM, from adding patients to placing orders.

Log in to Apotec CRM and sign in as the Responsible Pharmacist

Once you have accepted your invitation to join Apotec CRM and the organisation/branch you will be working at, you will be able to log in to Apotec CRM to access all the features and functionality. Watch the below video to learn how to log in to Apotec CRM, sign in/out as the Responsible Pharmacist and log out of Apotec CRM.

Authenticate your NHS smartcard

You will be required to authenticate a valid NHS smartcard before you can access certain features and functionality within Apotec CRM. The User Details status icon in the Apotec CRM top bar provides a visual indicator of when a smartcard has been authenticated. Search for a patient and view patient records

You can search for patients from any module within Apotec CRM by typing the patient's surname into the Search bar and pressing [Enter] on the keyboard. If you are part of a multi-branched organisation, you can also search for patients across your organisation. Watch the video below to learn how to search for a patient and access patient records.

Add, edit and nominate patients

Patients will need to be added in Apotec CRM before you are able to perform any patient-related activities. Once they've been added, you can edit their details and add/remove nominations to your pharmacy.

Select Prescribers and Prescribing Orgs

You can add Prescribers and a Prescribing Organisation on the Prescriber tab in the patient details form. These details will be used as the default Prescribers and Prescribing Organisation when adding manual prescriptions. Watch the video below to learn more.

Download EPS scripts and print tokens

You can use the [Download Nominated Script(s) - F6] button on the New Rx Workflow tab to pull down the prescriptions for your nominated patients from the NHS Spine, and print EPS tokens from the View Scripts window, which is accessible from any prescription widget within the application. Watch the video below to learn how.

Dispense an EPS prescription

EPS prescriptions are processed via the Dispensing Wizard. The patient specific Dispensing Wizard is separated into easy to follow steps designed to support your dispensing flow. The video below walks you through the end-to-end flow through the Dispensing Wizard.

Add and dispense manual prescriptions

If you receive a non-electronic script such as FP10HP prescriptions, Dental or Private prescriptions, you will be required to add the information to the patient's record before proceeding with the Dispensing Wizard. Watch the below video to learn how to add and dispense manual prescriptions.

Create an emergency supply

You can create an Emergency Supply (ES) prescription when you need to provide medication without a prescription. An Emergency Supply prescription is added during the Select Script(s) step of the Dispensing Wizard. The video below details how to select an ES script type whilst creating a manual prescription.

Create an RMS request

Learn how to create new RMS requests and reminders from the New Request window by watching the video below.

Create and redeem owings

If you are unable to fully or partially meet the demand for a specific item, you can create a full or partial owing to be redeemed at a later date. Watch the video below to learn how to create a full and partial owing, and redeem an owing from the Requires Attention Workflow tab.

Edit a prescription

You may be required to make amendments to your prescriptions after the prescription has been processed/saved. Prescriptions are edited from the Edit Scripts window, which you can access from several tabs in Workflow or from the Medication History within the Patient CRM. Send DNs and claims, withdraw DNs and return prescriptions

Learn how to send and withdraw dispense notifications, send claims and return prescriptions by watching the video below.

Reprint labels

You can reprint bag and dispensing labels from the patient record. Watch the video below to learn how.

Create and send orders

Using the Ordering module you can manage everything in the ordering process from your Order Pad to Restrictions, including Wholesalers, Goods In, logs, history and more. Watch the video below to learn how to add items to the Order Pad, send your orders and book them in once they've been received.
