Creating requests

Create new requests and reminders from the New Request window. The New Request window can be accessed from the following places:

  • Patient Repeat Request tab
  • Workflow Request tab
  • MDS Manager
Note

If this is the first request you are creating for a patient, you will need to add the request from the Patient Repeat Request tab.

Accessing the New Request window

Module/AreaAccess
Patient Repeat Request tab
  1. To begin, from any module within Apotec CRM, type the patient's surname into the Search bar and press [Enter] on the keyboard.
  2. Highlight the patient in the list and then select the [View Patient - F3] button to open the full patient record.
  3. Select the Repeat Request tab.
  4. Select the [New Repeat Request - F2] tab. The New Request window displays.
Workflow Request tab
  1. Open the Request tab in Workflow by selecting Workflow from the left-nav and the Request tab.
  2. Select the required patient.
  3. Select the [New Request - F3] tab. The New Request window displays.
MDS Manager
  1. To begin, open the MDS Manager by selecting MDS Manager from the left-nav.
  2. Locate and select the required patient.
  3. Select [Request Scripts - F3]. The New Request window displays.

Creating a new request

  1. Select the item(s) to add to the request.

  1. Complete the New Request window as required. Details of all the available fields can be found in the table below. Once completed, select the [Confirm - F10] button to create your request.

Edit iconIf required you can edit/update the Last Dispensed Quantity. You will need to select the Save icon to confirm your changes.
Stopped iconYou can mark items as Stopped. Stopped items will be displayed with a STOPPED badge in the patient record.
Delete iconDelete an item from the grid. Removing an item won't affect the patients medication history, and any removed item(s) will reappear in the list upon reopening the window.
Reminder Date

You can enter a start date manually, or by selecting the Calendar icon. The start date works with the set number of days defined in the Prescribing Organisation Collection Lead Time application setting to determine when a request becomes overdue.

You can perform the following actions using the function buttons below:

  • Select the [Back 1 Day - Alt-B] button to move the request start date back by one day.
  • Select the [Today - Alt-T] button to set the request start date to the current date.
  • Select the [Add 1 Day - Alt-F] button to move the request start date forward by one day.
  • Select the [Add 21 Days - Alt-G] button to move the request start date forward by 21 days.
  • Select the [Add 28 Days - Alt-H] button to move the request start date forward by 28 days.
  • Select the [Add 56 Days - Alt-J] button to move the request start date forward by 56 days.
Request Type

When creating requests, use the dropdown to select a request type:

  • Reminder: Create a repeat in the To Be Requested status as a reminder for your Pharmacy to print/send the request
  • Request: Create a repeat in the Requested status
  • Repeat Dispensing: Create a repeat dispensing batch request
Fulfilment Type radio dialsSet the radio dial to your patient's requirements. Once packed, reconciled prescriptions will be moved to the appropriate tab in Workflow. Options include Patient Collection or Patient Delivery.
Prescription Type radio dialsSet the Prescription Type radio dial to either NHS or Private.
NotesAdd any additional notes your request.
[Print Request - Alt-P]Select to print your requests.
[View Request Workflow - Alt-W]Select to be taken to the Request tab in Workflow filtered on your selected patient.
[View External Med. History - Alt-A]Select to view the patient's external PMR data if available.
[Add Item - F1]Select to manually add additional item(s) to the Request Items grid that are not in the patient's medication history. You may need to adjust the quantity for any manually added items before you can create the request. Items added manually will not be displayed in the grid by default until they are dispensed for the patient and displayed in their medication history.
[Print Consent Form - F9]Select to print a patient consent form.
[Confirm - F10]Select to create your request. A snackbar displays confirming the request has been created successfully.
[Cancel - Esc]Select to cancel creating your request.
